Business process automation consulting
The AI Consultant for Small Business
OptiWork is an AI consultant for small businesses. We work out which parts of your week a machine should be doing, build the AI automation that does them, and stay on the hook when it needs changing. You scale operations without adding headcount, and without hiring anyone technical to look after it.
For Growth-Focused SMBs
We provide expert Business Process Automation (BPA) consulting to help small businesses eliminate manual bottlenecks, reduce errors, and get a meaningful part of the working week back.
Business process automation here means connecting the software you already pay for so information stops being retyped between systems. Intake forms that feed the CRM, invoices assembled without anyone assembling them, follow-ups that happen whether or not somebody remembered. Nothing is ripped out and replaced.
Where it starts
A written automation plan for your business, and it is yours outright. The full $4,500 comes off the cost of the build if you start one with us within 90 days.

Who is this for?
This practice is built for owner-led small businesses with no IT department: the owner is still in the work, and there is nobody on staff whose job is technology.
That is less a size bracket than a description. If you are the person who would otherwise have to learn the automation tool, judge the vendor, and fix it at nine at night when it stops working, you are who this is for.
Owners at this stage are usually looking for a person rather than a product. The tools are not the hard part and most people have already seen them. The hard part is knowing which one fits your business, what to do first, and whether the thing you are worried about is worth automating at all. That judgement is what a consultant is for, and it is the part you cannot download.
Who it is not for, said plainly: a business with its own engineering team and a specification already written. If you know exactly what you want built, you want a developer rather than a consultant, and it will cost you less.
Small business AI automation is the whole of this practice rather than one service line inside a larger firm, which is why the scope stays honest about what automation can and cannot do for a business your size.

The "Consulting" Difference
- Strategic Process Mapping (Not just 'fixing' one task)
- Tool Selection & Vendor Management
- Custom API Integration & Scripting
- Data Security & Compliance Reviews (SOC2/HIPAA)
- Private Model Deployment Options
What is Business Process Automation Consulting?
Business Process Automation (BPA) Consulting is more than just connecting apps. It is a strategic discipline where we analyze your end to end operational workflows, identify inefficiencies, and architect secure, scalable software solutions to handle repetitive tasks.
Unlike generic "workflow automation" tools that require you to build everything yourself, a BPA Consultant acts as your technical partner. We design the logic, select the right technology stack (APIs, RPA, AI), and implement the system for you.
For small businesses, this means achieving enterprise grade efficiency without the enterprise price tag. We turn your manual SOPs into digital assets that run around the clock, with the checks that catch the cases a person would have caught.
Business process automation services, in short, are the build half of the job: the connections between your systems, tested, monitored and documented. The consulting half is deciding which of them are worth building at all.

The engagement
What does working with an AI consultant look like?
Our Business Process Automation Framework is a four-step methodology to identify, architect, and deploy automation solutions, taken in the order that gets you something usable soonest.
Your part is the knowledge: how the work really gets done, and which exceptions matter. The interviews, the mapping, the building, the testing and the documentation you keep at the end all sit on this side.
Week 1
We audit your current workflows, interview key stakeholders, and map out every manual touchpoint across your finance, HR, and sales operations.

Documentation & Support Plan
Where does a small business start?
With a conversation, and then a written plan. Neither commits you to a build.
The first step is a free 30-minute call. It costs nothing and there is nothing to sign. You leave it knowing the two or three processes in your business most worth automating, and roughly what they would cost. If the honest answer is that a change to how you work fixes it for nothing, that is the answer you get.
After that, most engagements start with a written automation plan. It is a fixed $4,500, and it is yours outright: you can hand it to your own developers, take it to another firm, or bring it back here. The full $4,500 comes off the cost of the build if you start one with us within 90 days.
Build work starts at $12,000 for process automation and $20,000 for a custom AI agent, and every project is quoted at a fixed figure before it begins. There are no hourly rates running in the background. The pricing page sets out what each figure covers.
Once something is live and the business depends on it, there is an optional ongoing support retainer from $500 per month: monitoring of what is running, fixes when a vendor changes something underneath it, and an allowance for small changes. It is worth having at that point and a waste of money before it.
Why Choose OptiWork as Your Automation Partner?
Many agencies just set up a simple connection and walk away. We bring decades of combined operational and engineering experience to the small business sector. We build systems that are robust, secure, and designed to scale.
It is a founder-led practice. Stephen Angelo is a 30-year IT veteran and CISSP-trained; he built and still runs a compliance platform serving mortgage lenders since 2009. The person who scopes your engagement is the person who builds it, and small businesses are the whole practice here.
Business-First Approach
We don't automate for the sake of technology. We start with your P&L. If an automation doesn't save you time or make you money, we don't build it.
Technical Depth
Our background in Computer Engineering means we can handle complex API integrations, custom Python scripting, and database architecture that no code tools can't touch.
Long-Term Support
Automations need maintenance. APIs change. Businesses evolve. We offer ongoing support packages to ensure your "digital employees" keep showing up to work every day.
The ROI of Automation
The re-typing stops
Information entered once flows to every system that needs it, instead of being copied between them by hand.
The work happens whether or not anyone remembers
Follow-ups, handoffs and status updates stop depending on somebody having the time that day.
Transfer errors go away
A machine moving a value between two systems does not mistype it. That is the one accuracy claim on this page that needs no statistic.
Frequently Asked Questions
What does an AI consultant do for a small business?
An AI consultant works out which parts of your week a machine should be doing, in what order, and then builds it. In practice that is three pieces of work: a look at how work actually moves through your business today, a written plan that ranks what to automate first and what to leave alone, and the build itself. You are buying judgement about where to start at least as much as the software at the end of it.
How much does an AI consultant cost for a small business?
The written plan is a fixed $4,500. The full $4,500 comes off the cost of the build if you start one with us within 90 days. Build work starts at $12,000 for process automation and $20,000 for a custom AI agent, and every project is quoted at a fixed figure before it begins. Once something is live and you want it looked after, ongoing support starts at $500 per month. Before any of it there is a free 30-minute call that costs nothing, and every figure is published on the pricing page.
Do I need an IT department to work with an AI consultant?
No, and most of the businesses here do not have one. That is usually the reason to bring in a consultant rather than hire: there is nobody on staff whose job is technology, and the owner does not want that job either. What you need is somebody who knows how the work really gets done, which is normally the owner, and who is available for the interviews in the first week.
Is an AI consultant the same as an AI automation agency?
They overlap, and the label matters less than who does the work. Here the person who scopes the engagement is the person who builds it, and the written plan is yours to keep whether or not you ever build it with us. Agency describes how a firm is organised; it does not tell you who will be on your account or what you end up owning.
What is the difference between BPA and simple task automation?
Task automation handles single, simple actions (e.g., 'save this email attachment to Dropbox'). Business Process Automation (BPA) is holistic, it orchestrates entire multi-step workflows involving people, data, and systems (e.g., 'process an invoice, update the ledger, notify the manager, and schedule payment').
Do I need to hire a developer to maintain these automations?
No. As your BPA consultants, we build systems that are low-maintenance by design. We also provide documentation and training so your internal team can manage day-to-day operations, or you can retain us for ongoing managed services.
Is my business too small for automation consulting?
If a noticeable part of the week goes on repetitive data entry, copy-pasting or manual follow-ups, you are ready for automation. The size of your business matters less than the complexity of your busywork.
How secure is business process automation?
Security is our top priority. We use enterprise grade encryption, secure API keys, and least privilege access principles. We adhere to SOC2 and HIPAA standards and can deploy local only models that never send data to the cloud.
What tools do you use for automation?
We are platform-agnostic. We use industry-standard integration platforms and custom scripts to ensure your solution is robust, secure, and scalable. We choose the best tool for your specific infrastructure, not the one that's easiest for us.
Can you integrate with legacy on-premise software?
Yes. We use specialized gateway tools and RPA (Robotic Process Automation) to securely connect modern cloud apps with legacy on-premise databases and ERPs, extending the life of your existing investments.
What happens if an API changes or breaks?
We build robust error handling and monitoring into every workflow. If a connection breaks, our system alerts us immediately. We also offer maintenance packages to proactively update integrations before they cause downtime.
